Can a customer call a manufacturer and add additional items to an order without the contractors knowledge?

Virginia

I had worked for a customer who wanted windows made with blinds between the glass. The only manufacturer who could supply those were Pella. My sales rep and myself went to the customer and got the window details worked out, My sales rep placed the order and after a few weeks of waiting for this special order window I get a call from my sales rep. The sales rep says " Did you know that customer called and added additional windows to the order and they will be charged to your account?" I said " No, I have not heard anything about adding more items to the order and the customer has not asked me to add anything to an order." The sales rep replied " Do you want to cancel the order or put it on hold? I said " Put it on hold until I find out what is going on and make sure he will pay for these extra items if he wants them added on. I called the customer, but he would not answer the phone and I have not been able to get in touch with him so after waiting to hear back from the customer unsuccessfully and finally realizing the customer was not going to call me back I mailed the payment made on the windows back to the customer. After several months I receive a paper for court and this customer had apparently went to an attorney and told them some kind of fantasy story which made it look bad on me. I have all the documents and the sales rep who was with me during the purchase of the windows who can verify the actual events, but I do not know how to proceed with getting this properly handled. I have been a contractor for 20 years and never have I known of someone being so dirty and trying to make it look as if I never order windows, but not the case by far.
