Properly closing out a construction project is crucial. And, a major part of that process is collecting the necessary paperwork. While it's written for a contractor's perspective, this article should be valuable when closing out a project: Project Closeout: Best Practices for Closing Out and Getting Paid.
As discussed there, there are some important closeout documents that should be exchanged. The article specifically mentions the following docs:
- Certificate of Substantial Completion
- Completed Punchlist
- Design Team Approvals
- Inspection Certificates
- Certificate of Occupancy
- Lien Waivers
- Final Pay Applications
Additionally, it's a good idea to keep copies of all project documentation previously submitted and exchanged throughout the life of the job - like the contracts, warranties, purchase orders, change orders, etc. That way, if there's any sort of dispute down the road, those documents have been preserved and can shed light in any disagreements.
