proposal of effective work atmosphere/ plan before payment comes to an Accounts Department

dear Sir, I am working with the Property Business company. we are having currently 3 sites where the work is still in progress . Our Boss want to have the cash flow ready before all unexpected expenses arise from the sites he wants us to be on our toes to know which construction expense is comming and how much and from where, Now me just being an Accountant how is this that i can take care of without any quantity surveyor of other support can you help me or send me the proposal for having the cash flow in tact in this regard

Thank you for reaching out Donald,

It seems you need an AIA document for each contract total.  The AIA form should be sent to each GC/Sub they contracted with and require they submit this to them by 20-25th of the month.  Then they pay the expenses by next month.  This Statement or AIA form keeps a running total from contract, monthly expenses,  signed changed orders, and what’s left to be paid. I’m not sure this is what they are looking for but this is what I am thinking they would need to keep up with it.  This will help you know what you paid versus how much is left on the project each month. 

Require change orders to be sent in writing and be signed by authorized parties from both sides.

This form is used by architects, contractors, and I have used this as a supplier just to get payment from contractor.  It simplifies everything.
